Background

The National Framework for Social Prescribing, fulfilling the Programme for Government 2021-26 commitment to introduce an all-Wales framework, was published in December 2023. By completing and submitting the event application form, you are signing up to the online invitation to attend a national showcase event.  The upcoming Social Prescribing National Showcase event, taking place on Tuesday 10th March 2026 at The Angel Hotel in Cardiff, is designed to celebrate the achievements and milestones to date of this prominent national programme. The event aims to highlight the collective efforts, innovative initiatives, and impactful outcomes generated through the programme's activities. By bringing together stakeholders, partners, and beneficiaries, the showcase will serve as a platform to reflect on progress, share best practices, and inspire continued engagement and growth.

 

Event management company, Production 78 Ltd, commissioned to support organisation and delivery of the event, will promote it and encourage participant registration via email and social media channels.  Production 78 Ltd will also produce materials for post-event sharing.

 

Welsh Government (the "Data Controller") and Production 78 Ltd (the "Data Processor") will process your personal data for the purposes of managing your participation in the event.

 

Personal data to be collected

 

The online form will collect your name, job title and email address, as these are necessary to access the venue and participate in the event along with your location. If you do not provide this information, we may be unable to grant access or facilitate your participation. Each attendee will be provided with a name badge which will be issued at reception when they arrive.

 

We will collect information about your accessibility requirements, car registration number etc, with your consent, to ensure a safe and inclusive environment.

Photography and video will be used to record event proceedings and for later use. This implies that your personal data including your voice, face, and name will be visible to the audience during the event.

 

Use of personal data:

  • Your name and email will be used solely for event access and communication purposes.

  • We require your location information to monitor and manage the scope of attendees at the event.

  • A name badge will be issued at reception upon arrival.

  • Photography and video recording will take place during the event for promotional and archival purposes. This includes images, voice, and video footage that may be shared publicly afterwards. By attending the event, you acknowledge that photography and filming will take place, and you consent to the use of your image, voice, and personal data as described. Production 78 Ltd will clip recordings and select photographs for promotional packs providing post-event highlights and a summary of key themes, to support continued engagement beyond the event.  Original content will be destroyed. If you do not wish to be photographed or recorded, please inform the event staff at the start.

  • Other data, such as dietary requirements or car registration to enable parking at the venue, will be used to ensure a safe and inclusive experience. 

 

How secure is personal data? 

 

Personal information provided to Welsh Government is always stored on a secure server. The data can only be accessed by a limited number of policy officials and administrators working on this project. Welsh Government will only use this data for the purposes of this showcase event.

  

Legal basis for processing

  • The processing is necessary for the performance of a contract, or to take steps at your request prior to entering into a contract (e.g. registering for the event).

  • Legitimate interests may also be pursued, such as ensuring safety and managing event logistics.

 

Data retention and disposal

 

Your data will be retained only for as long as necessary for the purposes of the event and post-event sharing, after which it will be securely deleted.

  • The data collected by Production 78 Ltd via the online form and other methods will be shared back with Welsh Government following the completion of the event and will be deleted by Production 78 Ltd following completion of this sharing.

  • The event will be wholly organised and managed by the Welsh Government officials assigned to the project and Production 78 Ltd; there is no requirement to share any personal data with the venue (Angel Hotel).  Dietary information provided for catering purposes will be limited to general dietary requirements and individual names will not be shared.

  • Welsh Government will retain your data only for as long as necessary for the purposes of the event, after which it will be securely deleted.

  • Your image and voice captured in the photographs and recording, edited to show event highlights and key themes, will be available to the public.

 

Individual rights 

 

Under UK GDPR, you have the following rights in relation to the personal information you provide as part of this event, you have the right: 

  • to access a copy of your own data;  

  • for us to rectify inaccuracies in that data; 

  • to object to or restrict processing (in certain circumstances); 

  • for your data to be ‘erased’ (in certain circumstances); and 

  • to lodge a complaint with the Information Commissioner’s Office (ICO), who is our independent regulator for data protection.
